Manage Outlook Data File Size in Windows

The default data file size in Outlook for Windows depends on the version of Outlook you're using:

  • Outlook 2010 and Later (Unicode format): The default maximum size is 50 GB
  • Outlook 2007 and 2003 (Unicode format - if applicable): The default maximum size is 20 GB

These are the default limits, but it's possible to configure a larger or smaller maximum size by editing the Windows registry.

Steps to Increase Outlook Data File Size:

1) Open the Registry Editor:

·       Press Windows + R, type regedit, and press Enter. 

2) Navigate to the Registry Path:

·       For Outlook 2016, 2019, and Office 365:

HKEY_CURRENT_USER\Software\Microsoft\Office\16.0\Outlook\PST

·       For Outlook 2013:

HKEY_CURRENT_USER\Software\Microsoft\Office\15.0\Outlook\PST

·       For Outlook 2010:

HKEY_CURRENT_USER\Software\Microsoft\Office\14.0\Outlook\PST 

3) Create or Modify the Registry Values:

·       MaxLargeFileSize: Defines the maximum size limit of the PST/OST file.

·       WarnLargeFileSize: Defines the warning size limit of the PST/OST file.

How to Add These Values:

·       Right-click in the right pane, select New > DWORD (32-bit) Value.

·       Name the new value MaxLargeFileSize and WarnLargeFileSize respectively.

·       Double-click each value to set the data (in MB):

      In the "Edit DWORD Value" window, choose "Decimal" under "Base".

·       MaxLargeFileSize: Set it to a value like 102400 for 100 GB.

·       WarnLargeFileSize: Set it slightly lower than MaxLargeFileSize, for example, 95000 for 95 GB. 



4) Restart Outlook:

·       Close the Registry Editor and restart Outlook to apply the changes.



* By default, the data file size in modern versions of Outlook is set to 50 GB, but these steps can help you increase the limit if needed. Remember to back up your registry before making changes to avoid potential issues.
